Managing projects and grants

From February 2027, the integration between Worktribe and Workday will cut the need for the manual rekeying of data, allow live and accurate reporting of financial information, and open up more time for core research work instead of the admin around it.

From Worktribe...
Processes like bid applications, project costings and contract negotiations will still take place in Worktribe.
...into Workday...
Project data, including budgets, will flow automatically into Workday, improving post-award project management.
...and back
Payroll and personnel data will feed into Worktribe for accurate, live costing templates for pre-award planning.

Data from current projects, including any project still open on 1 August 2026, will be transferred from Agresso into Workday.

Benefits for the York community

  • Cutting duplication: with Workday being the single source of truth for transactions and reporting, we're eliminating the need to re-enter data over multiple systems for every project.
  • Better visibility: where we're the primary lead in projects, we'll now be able to view and manage partner budgets directly in Worktribe, instead of having to re-enter them manually in Agresso.
  • Uncluttered reporting: only information from awarded projects will flow into Workday, so the real-time financial data won't be lost among information related to unsuccessful project proposals.

Continuing the conversation

Full details and step-by-step guidance will come through the functional training from November onwards. If you or your line manager would like to share any thoughts before then, please do discuss them with local representatives in the Change Network to feed back to the team.
