Admin support for professional services

The central admin service provides standardised and consistent support for common administrative activities that are undertaken on behalf of other staff within the central professional services Directorates.

The service is managed by Jo Black (jo.black@york.ac.uk), who is the Senior Executive Officer to the Chief Financial & Operating Officer (Nigel Alcock) and the Chief Academic Services Officer (Vikki Goddard).

Leadership support

The Leadership Support Hub (Executive and Personal Assistants) provides flexible Leadership support to the Senior Executive team and Professional Services Leaders.

General admin support

  • Meeting support (help with room bookings, calendar management, catering etc.)
  • Servicing committees (agenda setting, collating papers, IDA logs and action tracking)
  • Event and visitor management
  • Travel arrangements and bookings
  • Local admin related Health and Safety administration
  • Local admin relating to departmental space requirements
  • Departmental communications (including website updates and newsletters)
  • Cyclical admin activities (such as audit tracking, insurance questionnaires, asset registers)

  • Purchase ordering
  • Invoicing
  • Supporting budget monitoring and reporting
  • Maintenance of subscriptions and licences
  • Supporting expenses processing
  • Liaison between staff and finance to support financial transactions (eg maintaining accruals, prepayments, work order changes, journal transfers)

  • Supporting managers with recruitment and contract changes for staff
  • Casual bookings
  • Fixed term contract management
  • Coordination of staffing establishment updates for Finance
  • Supporting onboarding/offboarding
  • Coordinating Reward schemes in departments
  • Helping managers to coordinate and administer Flexiapp 
  • Coordination of leave (annual leave, parental leave, special leave etc)
  • Coordinating staff development programmes in departments
  • Sickness absence management and reporting
  • Provide advice on admin changes needed to support departmental restructuring or movement of roles between teams/departments (budget movement, work order changes, system changes)
