It helps you to easily establish the availability of attendees, and see at a glance which timeslot will suit the most people.

Overview

Doodle simplifies the process of scheduling meetings and events.

You can create a Doodle Poll, where you can suggest as many potential times as you wish, and respondents state their availability. You then select the time that suits everyone best.

Doodle also allows you to create 1:1 appointments that other users can book (no Doodle account necessary). You can use the 1:1 option if the slots differ each week, or the Booking page to automatically create recurring slots that repeat each week.

Doodle is an externally hosted service that can be used on its own, or linked to your Google Calendar.

All staff and students have access to the University branded version of Doodle. This version features the York logo, and doesn't have ads.

Schedule a poll or appointment

Once you have registered and linked your Google Calendar, it's easy to create an event:

  1. Log in to Doodle
  2. Select + Create
  3. Choose if you want to create a Poll, 1:1 or Booking page
  4. Follow the steps in add-in relevant event details.

Respond to an invite

If you've been invited to give your availability for a meeting from someone else, click on the link they've given you, and select the time(s) that suit you.

If you're logged in, you can select to have Doodle block out the times in your Google Calendar. Then, when the meeting date is selected by the event organiser, Doodle will update your calendar with the confirmed date.

How to register

1. Register  

The first time you use Doodle, you'll need to register:

  1. Click on Sign Up.
  2. Select Sign up with Google.
  3. Select your University of York Google account and password into the Google login page.
  4. Once signed in, you will need to check you have activated the University's Premium licence. Select your Profile picture (top-right of the page) and go to Account Settings > Subscription.
  5. On this screen, if you see a drop-down menu with 'Do not use Premium Doodle', select this and change it to Premium Doodle - Licensee | University of York. 

2. Link Doodle to your Google Calendar

Once you've linked your Doodle account to your University calendar, when you respond to a Doodle poll, the dates you accept will be added to your calendar as tentative events.

When the poll is closed, the confirmed date will be marked as such, and the others will be removed.

To link Doodle to your Calendar:

  1. Log in to Doodle.
  2. Click on your profile picture at the top right, and select Account Settings.
  3. Click on Connected Calendars.
  4. Click on Connect under the Google section and follow the instructions.

Troubleshooting

Events I created are not automatically appearing in my calendar

If you have already connected your calendar in Doodle but events are not appearing, first try removing your calendar and re-adding it.

  1. Sign into Doodle and select your profile picture.
  2. Go to Account Settings > Connected calendars.
  3. Next to your linked calendar, select Disconnect. 
  4. Look further down the page for the 'Add a calendar' section, find Google Calendar and select Connect.

I'm seeing an error message

Error messages can sometimes be related to the time-zone being incorrect in your Doodle account. Select your profile picture and go to Account Settings > Profile, and check the 'Default Time Zone' is correctly set for the region you are in.

Removing ads & enabling premium features

When Doodle carry out upgrades, you may sometimes see adverts appearing when you create polls, or you may lose access to premium features such as connecting to your calendar.

To stop this happening, you need to make a change to your account settings:

  1. Log in to Doodle.
  2. Click on your name at the top right, and select Account Settings.
  3. Click on Subscription.
  4. In the 'Plan' section, select Premium Doodle - Licensee | University of York from the drop-down menu.
