Book Greg's Place screen

We have a large video screen at Greg's Place that you can book to use for your event.

1. Check your proposal is suitable

There are requirements for holding events in Greg's Place and restrictions on the type of content you can show on the screen. You need to check:

We don’t allow on screen:

  • political or personal propaganda
  • offensive content
  • information appearing on behalf of individuals / personal causes
  • personal adverts by members of staff or students for goods or services
  • appeals from charitable organisations
  • non-University commercial advertising or promotion

Capacity

You will incur costs for health and safety requirements for events attended by over 500 people.

Student societies must use the YUSU website for bookings in order to monitor capacity (including free events). Other groups could use a website like Eventbrite so you have an idea of the expected number of attendees.

Noise

No noise from the screen past 11pm.

Licences and other considerations

Film screenings

A Motion Picture Licence will be provided if the organiser is a YUSU student society or club, or a college CSA or JCRC. Otherwise, see the Motion Picture Licence website for requirements. You will need to arrange this yourself. There may be additional measures needed if you are screening age-restricted content.

Additional licences may be required if your event involves:

  • music
  • sport
  • alcohol

You will need to provide a laptop.

2. Book the space

Staff and student societies

Log in to the Facilities Helpdesk (societies use your society's account number and password).

Click on 'Book a room' then 'Request room booking'. Search for ‘V/EXT - Vanbrugh external areas’.

You will need to book the screen and book Greg’s Place itself (building code V/EXT/PZ) if required for your event.

Students

Complete the Student Room Booking Request form and specify Greg's Place as the area you want to book.

3. Meet event requirements

If you are proposing an event, you need to complete an Events Management Form.

Your booking will only be confirmed when your Events Management Form is signed off and you receive a receipt email.

4. On the day

Pick up key 36 from Vanbrugh College reception in the Information Centre.  

You will need to leave ID when you sign the key out.
