Exams held in departments

All exams held in departments must be subject to the same guidelines and procedures as central exams. Departmental staff who have completed invigilation training* may invigilate these exams, however if you would like the Exams Office to arrange external invigilators for you please complete the request form giving at least two weeks' notice. Trained invigilators will be booked for you and we will provide you with their contact details. Following this confirmation, any further communication (eg changes to exam times, payment information etc) will be between the department and the invigilators - the Exams Office will have no further involvement. You must pay invigilators departmentally. 

If any of the following situations occur, invigilators should still be paid for the full amount of time they were originally engaged for

  • The exam is cancelled with 24 hours' notice or less**
  • The duration of the shift is reduced with 24 hours' notice or less**
  • The students fail to attend on the day
  • The students finish the exam earlier than expected

If your exam is within a Common Assessment Period, unfortunately we will not be able to arrange invigilators for you as all our invigilators will already be engaged working in central exams.  

*Upon request the Exams Office can provide invigilation training for departmental staff - please contact invigilators@york.ac.uk to discuss this. All arrangements for such training (eg booking a venue, inviting staff) must be made by the department. 

**If the exam is cancelled or amended with more than 24 hours' notice, payment of the invigilators would not usually be expected but is at the discretion of the hiring manager.
