Erasmus calendar

WhenActivity
Autumn Week 1
  • Study Abroad Opportunities talk - more information can be found in your Fresher's week timetable.
  • First-year students are informed about Erasmus opportunities at orientation sessions in their departments.
  • Students interested in Erasmus should start language preparation classes at Languages For All
Autumn Week 5
  • The Global York Week will include presentations and an Information Fair for students interested in Erasmus, you'll also have a chance to talk to returning exchange students - check noticeboards in your department and college for further details of these events during Week 5.
  • Check your department notice board for promotional events relating to next year's exchanges
Autumn Weeks 6-10
  • Attend any departmental sessions with Erasmus Co-ordinators.
  • Research and choose an exchange destination/duration.
  • Understand funding options and how the Erasmus grant works.
  • Discuss with friends and family.
  • Discuss with your supervisor and the Departmental Erasmus Co-ordinator.
Spring Term
  • Meet with your Erasmus Co-ordinator to register a firm interest in the scheme and follow selection procedure, they will continue to counsel interested students throughout the term.
  • Once selected:
    • Attend mandatory workshops and clincs.
    • Submit external applications to host institution (usually start becoming available in February).
    • Apply for Language Course where applicable - information about Erasmus Intensive Language Courses will be sent to Department Co-ordinators in March/April.
Summer Term
  • Confirm acceptance to host institution.
  • Start preparations: accommodation, insurance, language course etc.
  • Attend pre-departure sessions and clinics.
  • Apply for Erasmus grant via e:vision home page.
  • Confirm final list of course choices with your department and complete your Learning/Trainging Agreement.
  • Discuss with your Department Co-ordinator how marks achieved will be treated on your return.
  • You will receive your Erasmus contract from the Study Abroad Office.  This must be signed and returned before you leave for the Summer Vacation.
  • Complete year with a satisfactory academic standard.
Summer Vacation
  • Study Abroad Office will be available for any queries and may be in touch with students regarding different matters so it is important to keep checking your e-mail at this time.
  • Study Abroad Office will prepare first allocation of grants to students.
  • Returning students submit their Erasmus report to the Study Abroad Office.

Autumn Week 1
  • Study Abroad Opportunities talk - more information can be found in your Fresher's week timetable.
  • First years and eligible second years will also be informed via their departments about the opportunities for study abroad and who to contact.
Autumn Week 5
  • The Study Abroad Office will hold its 'Global York Week' where you will be able to hear from returning students regarding their exchange experiences.
Autumn Week 6-10
  • Research and chose an exchange destination.
  • Prepare your internal application (e:Vision home page) - CV, personal statement, course choices.
  • Review application with your supervisor - students should discuss options with supervisors relating to course requirements and suitability of exchange.
  • Understand funding options and awards available.
  • Discuss with friends and family.
Spring Term
  • The closing date for internal applications for all exchange schemes via e:Vision will be Friday 11 January 2013 (paper applications will not be accepted without prior arrangement with the Study Abroad Office).
  • Applications will be short listed for interviews. Shortlists will be announced by the end of week two for California and the end of week three for all other schemes. 
  • Interviews will be held on Wednesday or Thursday afternoons weeks 2-7.
  • Once selected:
    • Attend mandatory workshops and clinics.
    • Submit external applications.
    • Apply for funding where possible.
Summer Term
  • Students receive acceptance letters, ID numbers and visa documentation from host institution.
  • Confirm acceptance to host institution.
  • Start prepartations: visa, accommodation, insurance, language course, innoculations, course enrolment etc.
  • Attend Pre-departure Workshops and clinics.
  • Confirm final list of course choices with department and discuss how marks achieved will be treated on your return.
  • Complete year with an average of 60% in assessments.
Summer Term Vacation
  • Study Abroad Office will be available for any queries and may be in touch with students regarding different matters so it is important to keep checking your e-mail at this time.
  • Most exchange universities hold mandatory orientation events prior to the Fall semester beginning.
