How Do I Book A Room?

Centrally-Bookable Teaching/Meeting Rooms

The Timetabling and Room Bookings Office manages all room bookings in centrally-allocated space. Please submit your request through the University’s web-based room bookings system, Planon, allowing a minimum of 2 working days notice. Please note that Planon can only be accessed from off-campus using the VPN. All students should read the Student and Society Bookings page before submitting a request.

Departmental Rooms

Your departmental room may be able to be booked through Planon in the usual way. However, some rooms can currently only be booked by contacting the relevant administrator, including some in the Berrick Saul building. To find out more, visit the full list of departmentally-bookable rooms.

College Rooms

In general College rooms are booked directly through the relevant College Administrator. These include Private Dining Rooms (PDRs), Senior Common Rooms (SCRs), and Junior Common Rooms (JCRs).

Accommodation

York Conference Park handle all requests for short-term accommodation and bed & breakfast facilities. For long-term accommodation options, visit the Accommodation Office website.

Conference Bookings

Please contact York Conference Park with all external booking requests, any bookings where you are charging delegates a fee to attend, and any bookings that are not directly related to teaching, research or other University business.

Booking a Room For Teaching / A Meeting During Vacation Time

During University vacations a large number of rooms are reserved for conferences. There are a number of rooms that can be used for meetings, teaching and other University activities however. These rooms are generally located in Alcuin, Biology, Chemistry, King's Manor, Heslington Hall, and Wentworth. Please see complete list of Vacation time rooms. If you need to book a room that is not on this list then please submit your request on Planon as normal and the Timetabling and Room Bookings Office will speak to the Conference Office on your behalf as bookings can sometimes be arranged. Please do not contact the Conference Office directly.
