Changes to the University wiki service

This article is for anyone who uses the University’s wiki service to create and host documentation, develop content or share notes.

Between 6pm on 5 February and 6pm on 6 February, IT Services will be migrating the University’s wiki service to a new Cloud-based version. This is an important migration, that will mean we no longer need to store our wiki data in servers on site.

During this migration the wiki will be unavailable for anyone to access and we apologise for any inconvenience caused by this downtime.  

All existing pages on the wiki will be migrated across to the Cloud version; you do not need to take any action. However, there will be some small changes to how you will be able to access and edit pages in the future. Please read the information below for details.

New URL 

Once migration has been completed on 6 February, the updated wiki should be accessed using the new URL: https://uoy.atlassian.net/wiki

To help with the transition, old links from wiki.york.ac.uk will automatically redirect to the same page on the new wiki for the time being, however you will need to update them in time. To find the new URL of an existing page, visit the existing URL. This will automatically redirect to the new address, and you can then check the new URL in the bar of your browser.

Remember, if you have any specific wiki links bookmarked, shortcutted or on printed materials, please update them with the new URL.

We will need all existing links into the wiki from other systems to be updated to use the new URL to ensure a frictionless experience for other users. If you are the owner of a system which links to the wiki in this way, please update the URL after migration on 6 February.

Login using single sign-on (SSO)

When logging into the wiki, please enter your University email address in the top box. Logging into the wiki will now use single sign-on like many other University services. This means if you have already recently logged into another service using single sign-on, you won’t need to enter your details again to access the wiki. 

Improvements and new features 

Once you have logged into the wiki, there are some improvements and new features to explore:

  • Archive pages: if you no longer require a page, you can archive it. This means the page no longer appears in the search, but can instead be accessed directly from the space under the Archive section.
  • Dark mode: you can enable Dark Mode by clicking your avatar in the top right, selecting Theme and choosing Dark Mode.
  • JIRA integration: an improved integration between Jira and Confluence, allows teams to directly create retrospective documents from Jira.

Changes to setting up space permissions 

If you are involved in creating new spaces or managing existing spaces on the wiki, there are some minor changes to the groups that are available for access permissions. Please visit the below page for more information:
