Driving on University business

Register as an authorised driver

In order to drive on University business you must first register as an authorised driver.

Driver licence checks are carried out for insurance purposes, the University’s duty of care to its employees and students and for claiming expenses.

This applies if you:

  • drive University owned or leased vehicles
  • hire vehicles
  • use your own private vehicles for University business.

The University of York motor insurance will only cover University owned, leased and long-term hire vehicles (over 3 months). University of York drivers hiring a vehicle on University business are not covered by the University of York motor insurance policy.

Using your own private vehicle

If you are using your own private vehicle on University of York business, then you must have a business use extension on your own personal motor insurance policy. You are not covered under the University's motor policy.

It is your responsibility to ensure you comply with DVLA regulations and only drive a category of vehicle that is included on your driving licence. For further information please refer to the government website:

Vehicles hired abroad

The University does not have motor insurance for vehicles hired abroad.

Driving with a trailer
