Key dates for payroll, recruitment and right to work activity

The HR Services and Compliance Team will be working until Friday 22 December 2023. Please continue to provide us with all employee changes, requests to recruit and direct appointments as soon as possible and please be advised of the following deadlines:

Payroll

Friday 8 December 2023 is the payroll deadline for all employee changes and new starters for December 2023. Requests received after this date will not be processed until January 2024.

We will need to have received completed acceptance forms from new starters prior to this date if we are to ensure that their records are set up in time for them to be paid in December. Please remember that contract variations and direct appointments require all the necessary approvals to be in place before we can process them.

Payroll cut-off dates for Casual workers

12 Noon on Tuesday 12 December is the last day for the worker to submit timesheets for approval.

5pm on Friday 15 December is the last day for departments to approve timesheets for payment.

Recruitment

As the office will be closed until 2 January 2024, there will not be anyone available to handle queries or issues raised by colleagues managing self-service recruitments. With that in mind, we would not recommend any vacancies having a closing date during the Christmas break and roles which will be live over this period should close no earlier than 5 January 2024.

Please note that if your vacancy is to be advertised on Jobs.ac.uk (suggested for all academic, research and teaching roles at grade 6 and above) we would need to have vacancy approval by Friday 15 December, to ensure this meets their deadlines.

If you are conducting interviews in the week prior to the Christmas break, please try to ensure all candidates are notified of the outcome before the closure period. Any offer of appointment forms received into HR Services by 5pm on 19 December will be processed before the Christmas break. Any forms received after this date will likely be processed in the New Year, although we will try our best to accommodate urgent offers where possible.

New employees and casual workers - Right to Work checks

New employees starting work in the new year must have completed their right to work check before they start work.

If you need to engage new casual workers to join the University over the Christmas period, please remember that they will need to have a right to work check and be booked in Dashboard prior to undertaking any work. The last day for us to approve any workers is Friday 22 December, and work planned for January can be booked in December.

Appointments for Right to Work checks will be available until lunchtime on Friday 22 December and will resume after the Christmas break on Tuesday 2 January 2024.
