Monitoring and reviewing frequent absence

You can review the absence levels of employees you manage, and the reasons for absence, on the HR Management Information Pages (VPN required).

Under the Sickness Absence and Management of Ill Health policy it is appropriate to consider taking further informal management action regarding short term sickness absence when three or more separate absences equal to a total of ten or more days of absence (pro-rata for part-time or shift workers) within a 12 month rolling period.

Shift workers and variable working patterns

For employees with variable work patterns, such as rolling shifts or days of a different duration, the prompt to consider an informal review should be calculated in hours, rather than days.

You should consider an informal review when the employee has three or more separate absences totalling 74 hours of absence (pro-rata for part time workers) within a 12 month rolling period.

Before you invite an employee to an informal review meeting, you must have already raised your concerns with them during a return to work discussion.

You should not automatically include any disability related absences when checking if an employee has reached the trigger for an informal meeting.
