Authorised users can subscribe to receive a list of staff whose contracts are due to expire in the next six months. The department must review the list, consult with staff, and update HR.

Review the list

Heads of Department and principal investigators must review the list in line with the University Policy on Fixed Term Contracts to determine whether:

  1. the individual should transfer to an open contract
  2. the fixed-term contract should be extended
  3. employment will end with the expiry of the current fixed-term contract

Where contracts should be extended or made open, complete a contract variation form.

Consult with affected employees

Where it has been determined that the need for work will cease of diminish, managers should follow the University Guidelines on Redundancy and the University consultation process.

In cases of redundancy there are legal requirements to consult with the individual about ways of avoiding the redundancy situation. Departments must consult with the individuals concerned at the earliest opportunity to advise them of the situation and offer any assistance that might be available to support them in their future career aims.
