Applying for a HRC postgraduate collaborative project grant 2023-2024

The deadline for applications is 12 noon on Tuesday 6 June 2023. All funds must be spent between 1 August 2023 and 31 July 2024. The maximum amount that will be awarded to a project is £1,000.

Terms

  1. On Tuesday 16 May at 2pm, the HRC will hold a workshop in the Berrick Saul Building for prospective collaborative project grant applicants. The workshop will be led by Jon Finch (HRC Deputy Director), with practical help and insights from Jelena Kusakina (Research Coordinator), Tracy Morris (Research Coordinator) and Megan Russell (Administrator). The workshop will cover topics such as: costing a grant application; managing a budget; policies; buying goods, services and equipment. Please note that it is compulsory for the PGR lead applicant to attend this session before applying for the grant but we would also encourage as many co-applicants to attend as possible.   2. Eligibility. Each application must have a ‘lead’ applicant who must be a current registered PhD or MPhil student from one of the Arts and Humanities departments (Archaeology, English, History, History of Art, Language and Linguistic Science, Centre for Medieval Studies, Philosophy,) or the School of ACT. 
  3. Any individual PhD or MPhil student may be named as a participant in up to two applications but can only be the ‘lead’ applicant in one.
  4. Requirement for multiple applicants. Applications can only be submitted by groups working together. A group for these purposes may involve between two and six people. Groups must include people from at least two different departments at York; applications which involve a PG student from a department other than the ones listed above (for example, one of the social science or science departments) are also encouraged. Applications from mixed groups, such as postgraduates and staff or postgraduates and postdoctoral scholars, are welcome.
  5. Responsibilities of the lead applicant. The lead applicant is responsible for making sure that the project is carried out, for providing a report on the event or initiative to the HRC Deputy Director following the event/initiative and for providing all receipts/proofs of expenditure to the HRC Administrator.
  6. Choose a mentor. Applicants must identify a ‘mentor’ for the project who is willing to act as a point of contact for any specialist advice, or academic representation, that you might need in developing and carrying out your project. The mentor should be a member of the academic staff at York. They should understand and be in support of your project. Your application must be signed by your mentor.
  7. Eligible costs. You may request costs for activities directly associated with your project, such as catering, travel, materials, AV or technical support. All proposed costs should be detailed and verifiable as for an external award application.   8. Payment for speakers. Eligible costs do not include payment to academic speakers. If speakers are from non-academic sectors and would normally charge a fee for their services (for example, training, artists), up to £150 can be paid. If the fee exceeds that amount you must make a strong case to justify the excess. 
  9. Importance of correct costings at the point of application. We will not normally pay additional costs after an award has been made, so it is important that all costs are itemised at the point of application, using costs that can be externally verified (not, for example, estimates or requests for per diem rates).
  10. Report. On completion of your project, you are required to write a short report. Your report should be provided in a format suitable for hosting on the HRC Collaborative Postgraduate Project Grants web pages – with images of the event and any outputs. 
  11. Applications should be submitted on the appropriate application form. 
  12. Applications must be submitted by the project mentor and sent as an email attachment to hrc-admin@york.ac.uk.
