Covid 19 Policy

The CPD Unit is committed to ensuring the safety and security of anyone visiting the University of York for a personal meeting or course / programme. 

This policy manages how we have put plans in place to keep everyone as safe and secure as possible.   The policy applies to all users of services provided by the CPD Unit who are present at the University of York. For more information, please read the University's Coronavirus information pages.


Pre-course testing

All delegates are requested to take a lateral flow test at home 24 hours prior to attending the course.

Delegates who are attending a face-to-face programme for more than one day are encouraged to perform two lateral flow tests a week. 


Training Rooms 

Capacities in our meeting rooms have been reduced to allow authorised visitors to reasonably distance as far as is practicable. The layout of the room will be created in a style that will ensure delegates are not facing each other and are as far apart as is practicable. The tables will be placed side-to-side, rather than face-to-face, whenever possible.  

“Safety Stations” will be present in meeting rooms, with hand sanitisers. 

The frequency of cleaning the meeting rooms has increased. 

Risk assessments are in place for all Training courses. 


Distancing for staff and trainers

Team members will maintain a reasonable distance as far as is practicable and delegates will be encouraged to do the same. Team members will frequently wash their hands.



The Universities Mechanical ventilation uses a fan to draw fresh air into or extract air from a room. These systems have been (where possible and practicable):

  • adjusted to maximise the ventilation rate
  • checked to confirm that normal operation meets the design specification
  • adjusted so only fresh outside air is circulated
  • maintained in accordance with the manufacturers’ recommendations. 

Opening external windows improves natural ventilation, and can also help to create a throughput of air. Where necessary external opening doors may also be used (if they are not fire doors and where safe to do so). The University will attempt to balance the need for increased ventilation with maintaining a comfortable temperature for users.


Face Coverings

In line with University guidelines, face coverings are currently required whilst on University premises unless exempt. 

Trainers are also asked to stand at a greater distance from delegates than usual. 

Should University guidance on face coverings change, this will be reflected in changes to this policy.



Individual packs of stationery will be provided for every delegate. All materials will also be made available electronically.  Trainers will use online options for in-course exercises wherever possible. 



Buffet lunches will be served with additional sanitation and risk minimising actions taken by the catering team. The catering team will wear face coverings. 

A hand sanitising station will be available with the lunch provision. 

If COVID-19 numbers increase, and University / Government guidance changes, further risk minimisation actions will be considered, such as providing individual plates of food, rather than a buffet choice.



Regular cleaning of public areas (twice per day) and toilets is maintained by the University cleaning team with a particular focus on frequently touched surfaces. 

CPD team members will ensure tables are cleaned during lunch break.


Contingency plans should an outbreak occur post-training course

All delegate contact details are kept on file and the CPD Unit will fully comply with the Government Track and Trace programme.
