The process, from discussion to programme placement

  1. Manager identifies apprenticeship opportunity for existing staff member
  2. Manager talks to POD to clarify apprenticeship standard, length, cost and establish basic rules
  3. People and Organisational Development (POD) send manager crib sheet to manager
  4. Manager ensures that employee is committed to apprenticeship
  5. Manager passes details of apprentice to POD
  6. Confirms existing Terms and Conditions will remain the same as apprenticeship programme is relevant to current role
  7. Identifies eligible training providers, in discussion with manager
  8. Tendering process carried out, if required
  9. Selects training provider and has initial discussion with them
  10. If apprentice is under 25, POD alerts Payroll for NI redemption
  11. Apprentice completes training provider's application form
  12. Training provider interviews apprentice
  13. POD inputs apprentice details onto the online portal
  14. Training provider issues training contract to POD
  15. POD signs training contract on behalf of University
  16. Apprentice commences training programme
  17. Monthly payments to training provider commence
  18. Issues commitment statement within six weeks of apprentice starting training programme
  19. Apprentice and manager co-sign commitment statement
  20. Issue apprenticeship agreement to apprentice within 6 weeks of start date
  21. Apprentices signs and returns apprenticeship agreement to POD
  22. POD sends apprenticeship agreement to HR Services and training provider
  23. HR Services upload the apprenticeship agreement onto ResourceLink
