Students who are assumed to have left the University

Usually undergraduates wanting to leave University will let someone know, but sometimes they will just stop turning up to classes.

Students wishing to leave the University

If a student informs you that they wish to leave, the information we provide on leaving the University offers advice and explains the process.

If a student has indicated that they have withdrawn but did not formally do so by completing a student leavers form, the following procedure applies.

Students assumed to have left or withdrawn

If a student is no longer attending lectures or seminars and will not respond to efforts by the academic department to make contact, the Board of Studies can make a recommendation to Special Cases Committee (SCC) that their registration with the University be ended.

The first step in making this recommendation is to complete the SCC termination of programme form (MS Word  , 40kb).

The SCC Chair will consider the information on the form and decide whether or not the case can be treated as an 'assumed withdrawal'.

Assumed withdrawal cases

The Special Cases Adminstrator will write to the student explaining that his/her registration is to be ended because of absence from the programme. If the student does not respond the withdrawal will be processed and confirmed to the student. The student will have the usual right of appeal against the SCC Chair's action if necessary.

If the student responds and wishes to continue their programme the Board of Studies will be informed and asked to consider the student's request (including consideration of whether a recommendation for leave of absence is appropriate).

Programme termination

If the SCC Chair decides that the case requires a hearing, the Special Cases Administrator will request supporting documentation from the Board of Studies and invite the student and Department representatives to the hearing.

This procedure will also be followed if the Board of Studies continues to recommend programme termination following the response of the student to a letter assuming withdrawal.
