Library opening hours: May Day bank holiday

The Library buildings will be open on the bank holiday, and most services will be available.

The Library buildings will be open as usual on the May Day bank holiday (Monday 6 May), and we'll be offering support via the Help Desk, email, and phone.

The Library cafe will be open 08.30 - 20.00.

The IT Support Office will be operating a reduced service, responding to walk-in enquiries and emails only. IT Services staff will be monitoring systems and responding to any major problems in IT rooms as appropriate.

MoreBooks is back!

Following on from a very successful MoreBooks month in February, we’re running the scheme again from 24 April - 24 May.

Whether it’s a title the Library doesn’t have or an additional copy of a book you’re finding hard to get hold of, MoreBooks is your chance to tell us what books to buy.

  • To suggest an item we don’t have, go to the New titles through MoreBooks form and fill in the details of the book you want.
  • To suggest an additional copy, all you need to do is look out for the MoreBooks button. This will appear alongside book titles in YorSearch, simply click it and enter your details in the form.

The Library will then purchase a copy of the book you want, buying an e-book where possible to improve availability.

Please note: there may be some occasions when we are unable to obtain an item, if this is the case we will let you know why.

Behaviour Awareness Week, 22-26 April

Spring’s a busy time but we want to make sure the Library’s the best place for you to study.

That’s why we’re making the first week of term Behaviour Awareness Week. Our staff will be wandering around the Library more often to make sure that users are respecting each other’s need to study and sticking to the rules about noise and food. We're also introducing the following new services in response to your feedback:

  • If someone’s disturbing you in the Library, you can now text us. Simply send details of your location and the nature of the problem to 07919 293133. We won't reply to your text, but we'll deal with the problem ASAP.
  • Unattended items taking up valuable space? From 29 April, we will be removing unattended items if they’ve been left for over 30 minutes, freeing up seats for you to use.

So, do you know your studious buzz from your silent zone? Take a look at what behaviour is appropriate and where in the Library.

Improving access to the content you need

We’ve been working on the following initiatives to purchase the content you need and improve access to items in high demand.

MoreBooks

Throughout February we asked what books you wanted us to buy as part of the MoreBooks scheme. We received a total of 649 requests and spent £24,051 on extra copies, new titles and e-books. As the scheme was so successful, we'll be running it again from 24 April-24 May.

Fast track orders

We want to make sure you've got better access to items that are in demand, so when there are three or more requests on a book, we buy extra copies or an e-book where possible. We've spent £25,421 on extra copies so far, so you don't have to wait as long for the items you need.

Electronic Texts service

We';re making essential book chapters and journal articles available online through reading lists in Yorkshare (VLE). This gives you instant access to the texts both on and off campus.

Since October we've provided 2,821 articles and chapters in this way, 1,112 more than the same time last year!

E-book turnaways

Occasionally you may be refused access to an e-book because too many people are viewing it at the same time; this limit is decided by the publisher/supplier.

We monitor this and when a turnaway happens more than once, we buy the e-book again from another source. Since the start of spring term, we’ve improved access to 52 e-books in this way.

Individual Postgraduate Studies

Individual Postgraduate Studies – applications now being taken for summer term

The nine individual postgraduate studies on the first floor of the JB Morrell Library will shortly be re-allocated to qualifying research postgraduates for the summer term. To apply for one of these rooms please send your name, email address, department and year of study to jackie.knowles@york.ac.uk by Friday 26 April 2013. Successful applicants will be contacted with their room allocations during w/b 29 April and others will be kept on a waiting list. A £5 deposit will be payable on collection of the key. Please note that in order to ensure fairness in allocating these rooms those postgraduates who had use of an individual study for the spring term will be excluded from the draw for summer term.

Library Flexible Loans Update: Changes to the AV Loans

In response to popular demand, we’ve changed the loan period for AV materials. It’s now the same as the standard period for ordinary loan items.

Since the introduction of Flexible Loans in October 2012 we have been actively seeking your feedback. We have received and responded to a range of individual enquiries and comments about the loan periods for items in the AV Collection.

In response to your feedback we have changed length of time items in the AV collection so that they operate in the same way as flexible loan items. This means that DVDs will, like books, be borrowable for a 4 week loan period unless they are requested. The new loan periods will be implemented on Monday 11 March.

Items in the AV collection can no longer be booked, but instead a request can be placed on an AV item that is on loan. Screening copies will remain as reference and can be borrowed by screening assistants nominated by departments. Borrowing over the Easter vacation

From Friday 15 March onwards, vacation borrowing will apply.

From Friday 15 March onwards, vacation borrowing will apply. Items on loan can still be requested by other users, so will be subject to recall throughout the holiday - however, you will be given longer to return them.

  • Borrowers will be given seven days to return any requested items during this period - fines will apply if requested items are returned late
  • If you are going to be away from campus and unable to return requested items during the vacation, we would strongly recommend that you return borrowed items before you leave for the vacation
  • Remember that you can post requested books back to us, as well as returning them in person

The SCONUL access and vacation access schemes let you use and/or borrow from other libraries at participating universities around the country.

If you are a postgraduate, part-time, distance learning or placement student you can borrow books and journals at other libraries which participate in the scheme, and if you’re an undergraduate, you can take advantage of the SCONUL vacation access scheme which gives you reference access to participating libraries. Both of these schemes are a great way of accessing resources and places to study when you’re away from York.

World Book Day Book Swap

Stacks of old books straining your bookshelves?

Get involved in the Library’s book swap event taking place on World Book Day (Thursday 7 March) and give your old books a new home, while grabbing yourself a new read. Drop off one of your old books in the JB Morrell foyer or King's Manor Library now and pick up a new one on World Book Day. 

Alternatively, why not get involved in the book crossing event taking place across campus? It's as simple as this; collect a book label from the Library or print the label below, attach it to one of your old books and then, on World Book Day, leave it somewhere on campus for another lucky reader to find. You can also keep track of your book's travels by registering it on www.bookcrossing.com and getting in touch with a world-wide community of readers.

Library Duck Egg Hunt!

Spring is on the way and so is the end of term. To celebrate both we are holding a Duck Egg Hunt in the Library in week 9 (4-8 March).

Find a duck egg token in the Library, then answer the question on the back to claim your prize. A blue token wins a Cadbury’s Creme Egg, a gold token wins a Creme Egg and a Library Duck Bag! All tokens will be hidden around the “Studious Buzz” zones of the Morrell and Fairhurst buildings. Waddle along and get searching - it's quacking good fun!

Whether it’s a classic, a biography or a good old romance, tell us what your favourite book is and why. The University of York's top ten will be announced on World Book Day and all those who have submitted a nomination will be entered into a prize draw to win copies of all ten books.

Seven lucky respondents to the recent Library Survey 2012 have been presented with prizes

Seven lucky respondents to the recent Library Survey 2012 were presented with a range of prizes by the Director of Information, Stephen Town, and Sian Fraser, Marketing Manager of Commercial Services, at an event in the Harry Fairhurst Building.

The survey captured many positive comments and useful suggestions for improvements, and mirrored the success of the recently completed Library refurbishment project and the opening of the Harry Fairhurst building.

Many thanks to the record 2,285 people who took time out to participate in this year’s survey. Details of an action plan based on the analysis of these results will be published very soon.

Reading Lists for Summer Term 2013

If you are teaching a module in the Summer Term, the University Library needs your help to ensure that appropriate resources are in place.

The Library would therefore like a copy of your reading list by Friday 8th March 2013 to ensure that items are available for the start of term. Sufficient notice is needed to order and process items not currently in stock and to move items into the Key Texts collection.

If you are using the resource list software (EARL) in Yorkshare, you do not need to send your list but please ensure it is up to date by this deadline. The Library will automatically be notified of items on EARL lists which are not in stock and will order them, creating links in the lists when the item is available. You may use the ‘Notes to Library’ option if you need to tell us about anything additional. Please contact Sue Elphinstone with any queries relating to EARL.

All non-EARL lists should be accompanied by a completed resource list form. The completed form and list should be emailed together to the Library Orders Team

Departments can also take advantage of our Electronic Texts Service, which can provide digitised chapters and improve reading list accessibility for your students. For information on this service please visit our 'How do I' page or contact your Academic Liaison Librarian.

If you are not using EARL but you know that there are resources which the Library will need to order, please let us know as soon as possible instead of waiting until your reading list is complete. You can make suggestions via the online Purchase suggestion form.

Library Flexible Loans Update

We are making improvements based on your feedback.

Since the introduction of Flexible Loans in October 2012 we have been actively seeking your feedback. We have received and responded to a range of individual enquiries and comments about the changes we have made and we are making some improvements.

We have increased the length of time you can keep an item when there is a queue of requests. Your feedback told us that one day was not sufficient, so we have increased this to two days. We realise that this may still seem too short, but we need to balance the needs of everyone in the queue who wants to use the item. We will monitor the effect of this change.

When there is a queue of requests for an item we are also taking a more pro-active approach to ordering an electronic version or extra copies. Wherever possible, we use our fast track purchase system to make the items available as quickly as possible.

Many people have told us they miss getting a courtesy reminder shortly before items need to be confirmed as still in their possession or returned. During February we will re-introduce the courtesy notice which will be sent to you just before an item that you have becomes due.

In response to popular demand we will be standardising loan periods for AV material in line with other ordinary loan items. This means that DVDs will, like books, be borrowable for a 4 week rolling loan period unless they are requested. Screening copies of DVDs will remain as reference and can be borrowed by screening assistants nominated by departments.

Christmas was our first vacation under the new model and on the whole things went well. We acknowledge that we did receive negative feedback from some of you, but we also received positive comments. The most common problem we found was that many students had missed the message that old style vacation borrowing, i.e. loans that last for the duration of the vacation, no longer exists, so we hope that future vacations will go more smoothly. Signage usability testing

Is this your first year at York? If so, help us to improve our signage and get free coffee and cake!

We’ve made a number of changes to our Library signage over the last few months and we’d like to know if it’s improved your experience of navigating our buildings and finding the items you need.

Signage usability testing will be held in the University Library from 11:00 - 12:00 on Monday 11 February and all students chosen to participate will receive a voucher for a free coffee and cake redeemable from catering outlets on campus.

If not, then throughout February you can request that we buy more. All you need to do is look out for the MoreBooks button. This will appear alongside book titles in YorSearch, simply click it and enter your details in the form. The Library will then purchase an additional copy of the book - where possible we’ll buy e-books to improve availability.

Library services feedback - Spring 2013

Participate in a Library feedback exercise and receive a £10 Amazon voucher!

We're working hard to improve the Library services we offer and we'd like to hear what you think.

We're looking for volunteers (students and staff) to attend a feedback session on either Wednesday 30 January (12:00-14:30) or Friday 1 February (15:00-17:30). The session will involve testing a few of our facilities and then giving us written and verbal feedback on your experience and your general feelings towards the Library. We're looking for a wide range of volunteers, so if you're interested please email matthew.holland@york.ac.uk and include:

  • Your department
  • Your course title and year of study (if applicable)
  • How often you use the Library
  • Which session(s) you'd be able to attend and your preferred date

Places are limited so we will respond to everyone individually to confirm whether they have been given a place and where the event will be held.

Every participant who completes the session will receive a £10 Amazon voucher and will be placed in a prize draw to win a £50 Amazon voucher. Light refreshments will available at each session. We look forward to hearing from you!

Access to the Library over the Christmas vacation

There will be a change to Library access arrangements during the vacation.

Between 22.00 on Friday 21 December and 08.00 on Wednesday 2 January 2013, access to the Library will be by a valid University of York card only.

The University Library will be in self-service mode from 18.00 on Sunday 23 December to 08.00 on Wednesday 2 January (with the exception of the closed days noted below).

The University Library will be closed on Christmas Day, Boxing Day and New Year's Day.

2012 Library Survey Update - Record Response Received

The 2012 Library Survey has now closed. Nearly 2300 responses were received, showing significant improvements on perceptions of the Library.

The 2012 Library Survey closed on the 9th December and we’d like to thank everybody that completed the survey. This year we received a record response to the survey, with nearly 2,300 completed surveys and over 1,000 comments.

We will be publishing the full results of the survey in due course. However, early indications are that perceptions of the library service have improved significantly since last year, with a seven per cent improvement on 2011 results.

Aleph downtime - Tuesday 4 December

On Tuesday morning the Aleph Library Management System will be taken down for a short period to undertake essential technical work.

Between 09:00 and 09:30 on Tuesday 4 Devember, the Aleph Library Management System will be taken down for essential technical work. The disruption may last up to 30 minutes.

This means that the following components or integrations with Aleph may be unavailable during this time:

  • Classic Catalogue (http://libcatalogue.york.ac.uk/)
  • Library account functions within the Student and Staff portals
  • YorSearch: Unaffected except for links through to Classic Catalogue e.g. Interlending, copy details, placing requests/bookings and My Library Account.
  • Aleph Windows client for staff access
  • Some aspects of EARL reading list software

Library café weekend opening

Changes to the Library café weekend opening hours

Following hourly sales tracking, feedback from both the café and the Library teams we are identifying a greater need for the service an hour later than the current opening times on a weekend. We are experiencing little demand first thing in the morning but we are almost turning people away at point of closing.

We will therefore be reacting to this customer demand by moving the current 10-3pm service to 11-4pm from the weekend commencing 24 November.

Murder Mystery solved!

Xu Zhang and Morgane Jourdain being presented with their prizes by Director of Information and University Librarian, Stephen Town, accompanied by Olivia Else (suspected murderer - now cleared of all charges) and Lisa Eveson (the victim - not dead after all)!

The winners of the Library's Murder Mystery activity were presented with their Amazon Vouchers today by Director of Information and University Librarian, Stephen Town. Over 1000 students participated in the hunt for the 'murderer' with Xu Zhang, Shelley Gabriel and Morgane Jourdain being the lucky winners of the prize draw. We are delighted to be able to give you photographic proof that Lisa Eveson is unharmed after all, and that Olivia Else is innocent of all charges! Feedback about the Murder Mystery was overwhelmingly positive and we look forward to running something similar in future years.

Library book collection - floors now open

Minster Library closure

The York Minster Library will be closed on Thursday 6 and Friday 7 September

The York Minster Library will be closed on Thursday 6 and Friday 7 September, re-opening on Monday 10 September as normal. We are currently changing the structure of the Old Palace so that volunteers steward the front desk instead of Old Palace staff, so we will be using these two days to prepare for this change.

24/7 opening resumes 3 September

To gain access to the Library buildings between 10pm and 8am you will need to bring along your University card. The only days we will be closed during the coming academic year will be Christmas Day, Boxing Day and New Year's Day (25 December, 26 December and 1 January).

Staff Development Festival

The Information Directorate has recently held a Staff Development Festival for staff in IT Services, Library and Archives, with sessions covering a range of topics such as Cultural Awareness, Customer Care, Disability, Productivity and strategy.

The University of York, Information Directorate, are working with Think Productive. They offer time management training courses, email training and facilitation training with a twist. Founder Graham Allcott explains:

“We use a unique blend of workshop time and at-desk coaching to ensure the changes we talk about also get implemented on the day, so that people leave our workshops with a profound sense of control and focus”.

The York Minster Library will be closed from 12pm on Wednesday 4 April and all day Thursday 5 April - the Queen is visiting York Minster and there will be no access to Dean's Park for security reasons.

Statement from the University Librarian about retention of library books.

It has come to our attention that some posters have been distributed around the University campus claiming that the Library intends to dispose of a large quantity of books. 

I would like to reassure all members of the University that there is absolutely no intention to dispose of any content that is useful or that academic departments wish to retain. The Library periodically reviews its collections and consults closely with academic departments before any decisions are made to dispose of content.

Should any members of the University have concerns or questions, they can contact their Academic Liaison Librarian or speak to their Departmental Library Representative, who are in regular contact with Library Staff through the Library Committee. I am also happy to respond to any concerns personally.

Library Survey 2012 Results

Results of the 2012 Library Survey show substantial improvements

The 2012 Library Survey results are now available and reflect a substantial improvement in the perception of the University's Library services over the past year.

Results for all questions on the survey improved in comparison with 2011, with a 7% increase in results on average. The results show a 15% improvement in scores for questions relating to "Library as a place", reflecting the success of the recent Library refurbishment project and opening of the Harry Fairhurst building.

Scores relating to customer service and information resources have also improved, following recent improvements in service through 24/7 opening, digitisation of key reading materials and the new flexible loans model.

The graph below highlights the improvement in results over the past three years.

We also received a large number of comments in the survey, a selection of which are provided below:

  • "I particularly value the fact that the library remains open all night. This is extremely useful and I hope it remains as such." (Male Undergraduate Student)
  • "I think the Library has improved in every dimension in the last few years. Congrats." (Male Academic Staff)
  • "excellent service and very helpful staff" (Female Postgraduate Student)
  • "The refurbishment and changes to the loan system are wonderful, a huge improvement." (Male Postgraduate Student)
  • "Good service and cheerful staff." (Female Academic Staff)

The survey also captured many suggestions for improvements. We will be analysing the results in detail over the next few weeks to produce an action plan to ensure that we address any issues arising. We will publish full details of our action plan once it is developed.

The survey was conducted in Nov/Dec 2012 and was completed by a record 2,285 people. Many thanks to everybody who provided their feedback through the survey. All those who completed the survey had the option to enter a prize draw, the winners of which will be announced shortly.

Since the introduction of Flexible Loans, Library fine income has reduced by 49% compared to the same time period last year. With your help our aim is to reduce this even further over the coming year.

E-Readers Coffee Morning

The third E-Readers Coffee Morning will be held on Friday 7 December 2012.

Come along to room LFA/204 of the Library's Harry Fairhurst Building between 11am and 1pm. The session is open to anyone. There will be a short presentation on 'Issues with digital readers and access to content', followed by a discussion on a forthcoming pilot of e-readers with distance learning students. There will be ample time for people to bring their own topics.

If you are teaching a module in the Spring Term, the University Library needs your help to ensure that appropriate resources are in place.

The Library would therefore like a copy of your reading list by Friday 16th November 2012 to ensure that items are available for the start of term. Sufficient notice is needed to order and process items not currently in stock and to move items into the Key Texts collection.

If you are using the resource list software (EARL) in Yorkshare, you do not need to send your list but please ensure it is up to date by this deadline. The Library will automatically be notified of items on EARL lists which are not in stock and will order them, creating links in the lists when the item is available. You may use the ‘Notes to Library’ option if you need to tell us about anything additional. Please contact Sue Elphinstone with any queries relating to EARL.

All non-EARL lists should be accompanied by a completed resource list form. The completed form and list should be emailed together to the Library Orders Team

Departments can also take advantage of our Electronic Texts Service, which can provide digitised chapters and improve reading list accessibility for your students. For information on this service please visit our 'How do I' page or contact your Academic Liaison Librarian.

Applications are now being taken for the autumn term

The nine individual postgraduate studies on the first floor of the JB Morrell Library will shortly be re-allocated to qualifying research postgraduates for the autumn term. To apply for one of these rooms please send your name, email address, department and year of study to jackie.knowles@york.ac.uk by Friday 12 October 2012. Successful applicants will be contacted with their room allocations during w/b 15 October and others will be kept on a waiting list. A £5 deposit will be payable on collection of the key. Please note that in order to ensure fairness in allocating these rooms those postgraduates who had use of an individual study for the summer term will be excluded from the draw for autumn term.

The book collection floors of the JB Morrell Library will be closed on the weekend of 14th-16th Sept

The book collection floors of the JB Morrell Library will be closed this weekend (14th - 16th September 2012). We apologise for the inconvenience caused, but this is due to circumstances beyond our control.

Urgent remedial work is being undertaken over the weekend and areas of the book collection will be opened up as soon as this is complete.

The Harry Fairhurst Building will remain open and the Raymond Burton Library will be opened overnight to provide additional space for those wishing to work. All other library services will remain available.

Lift maintenance

The Library apologises for the disruption currently being caused by maintenance work on the lift in the JB Morrell Library.

We are working to replace the current lift with one that will be more reliable and 50% larger and the work will be completed by mid-September. We understand that the noise is causing problems for users in this area. There are alternative quieter facilities, including silent study rooms, across the JB Morrell Library and the Harry Fairhurst building which we would encourage you to use. Please ask a member of staff if you need any assistance.

As previously announced, during the Summer the Library is open at the following times:

Tuesday 09:00-21:00
Wednesday - Friday 09:00-18:00
Saturday 10:00-18:00

Lending limit changes

The Library is increasing the lending limit for taught postgraduates

The Library is increasing the lending limit for taught postgraduates from 30 items at any one time to 50 after discussion with the GSA on the issue of opening hours over the summer holidays. This is a permanent change that comes into effect immediately. Research postgraduates have always had a lending limit of 50 items.

Loans Review Update

Feedback on consultation

We have recently completed an intensive period of consultation with students and staff about the new library loans model and have made some changes as a result.

Our discussions with students and staff and the results of our survey have shown that the majority of people are positive about our intentions and that even in areas of concern there are people who agree with the original proposals. A summary of the survey results have been made available.

We are working to address specific areas of concern and have added details to the above web page. It is difficult to meet everyone's needs with one policy and this is where our intention to introduce greater responsiveness and flexibility in discussing and solving individuals' problems is very important. In particular we'd like to draw attention to two areas:

Fines

We have decided to reduce the fine for requested items from £5 to £2 a day. This amended fine level endeavours to strike a balance between minimising the fine and encouraging return of items.

Rolling 4 week loans throughout the year

We plan to look further at balancing the needs of staff and students who are in York during vacations and those who are away. We have received a lot of positive feedback on the proposal to introduce rolling loans across vacations and we are going ahead with this aspect of the model. We received a small number of emails expressing concerns about how we might respond to individual circumstances and our aim is to try and find a solution which is fair to all borrowers and to investigate how we can respond to individual circumstances in a fair and efficient way.

Between 08:00 and 13:00 on Saturday 14 July, a number of Library services will not be available due to technical maintenance.

IT Services will be carrying out essential improvements to central IT services to ensure that they will continue to work in the event of power failures on campus. As a consequence, the following Library systems and services will be unavailable:

The Library catalogue
E-Journals via SFX
Databases via MetaLib
Digital Library (including Yodl,  the CausePapers, Ouse, and Iris)
Self service machines
Book return machine
Aleph client access (for Library staff)
Library classroom PCs

In addition, the above services should be considered at risk for the whole weekend. If there is any unexpected extension of the downtime, this will be announced on the IT Services Twitter feed.

External book drop box re-opened

Over the summer the external book drop box will be open once again.

The successful 24/7 opening during the summer term ends on Monday 2 July, but will resume in September. Over the summer the external book drop box will be open once again. If you need to return books when the Library is closed please use this facility. The drop box is located at the front of the Library along the walkway towards Alcuin, where the old entrance used to be. The drop is set into the wall in the square paved area where you can see into the Key Texts room. We have made available summer opening hours and details about vacation borrowing.

Vacation borrowing

Please note the Library vacation borrowing hours, effective from Monday 2 July.

The successful 24/7 opening during the summer term ends on Monday 2 July, but will resume in September. From Monday 3 September we will be open 24/7 all year round, except for 25-26 December and 1 January 2013.

Please note that from 2 July to 2 September 2012 the opening (full service) hours are:

Mon 9am - 6pm
Tues 9am - 9pm
Wed-Fri 9am - 6pm
Sat 10am - 6pm

Borrowing books for the vacation

Why are you changing the way loans work?

From the feedback we've received we know that our current loans system is not working well and we want to develop a system which is fair for all groups of library users and improves access to material to help you get the resources you want when you need them. We have looked at best practice across HE libraries and have been inspired by the University of Sheffield who were able to raise NSS satisfaction with library services from 62% in 2008 to 91% in 2011. They have reported that one of the most significant contributing factors to this increase is the change in their loans system. In contrast York currently has a satisfaction level of 74% in the NSS for Library services. The system we have developed is based on that at the University of Sheffield.

Why charge £5 per day on requested items?

In the academic year 2010/11 only 11% of Library fines were from ordinary loans that other people had requested because they needed to use them. This implies that in the majority of cases we are charging fines on material that comes back late but that no one else is waiting for. We propose to only fine on items that are overdue and were requested by others, unless they are Key Texts. We're proposing a high fine for this situation to stop people deliberately keeping items that are requested by others.

What if my circumstances mean I can't get a requested book back on time?

Just let us know! Our aim is not to charge fines unless we have to, so if you have difficulties getting a book back or have mitigating circumstances that we need to take into account then get in touch and we will work with you to resolve the situation.

How long will I get to return a book once it has been requested?

This will vary as our request system will take account of the circumstances of the borrower (i.e. full-time or part-time student or those on specific courses in Health Sciences and HYMS) and known demand for an item (i.e. assigning loan length based on whether there is a queue of people waiting for the item). Everyone will get at least three days to bring back a book when it is requested.

Can I renew my books?

Yes, you can renew a book as many times as you need, providing that no-one else requests it. At the end of each 4 week loan period you will be invited to confirm via your library account that you still have the book and it will be renewed.

Won't unlimited renewals mean empty shelves and problems with browsing as nothing ever comes back to the Library?

We are not expecting a significant change in the number of items out on loan at any one time. Physically browsing the main shelves will only ever give a snap-shot of available stock at any time due to the increasing numbers of electronic books and journals. For a full overview of stock in a subject area the catalogue must be employed for 'virtual browsing'.

What will happen to Key Texts?

We don't propose to make any changes to Key Texts this year so the way the loans and fines work for that collections will remain the same as they are now.

What about vacations?

4 week loans will apply all year round and you will be able to confirm and renew books throughout the vacation if no-one else needs them. If the book is requested you will be expected to return it within 7 days and to post it back to us if you are away from York.

Isn't the cost of returning the book via the post just as bad as having a fine?

We are currently investigating whether we can offer a subsidised postage returns label.

The post will take a while to get the book back to you, won't I end up with a fine regardless?

We will take the return date as being the date your parcel was franked. We also advise getting proof of postage in case anything goes wrong.

Why are we making changes?

From the feedback we’ve received we know that our current loans system is not working well and want to ensure that we develop a new model which puts community at its heart.

In the academic year 2010/11 only 11% of Library fines were from ordinary loans that other people had requested because they needed to use them. This implies that in the majority of cases we are charging fines on material that comes back late but that no one else is waiting for.

We have looked at best practice across HE libraries and have been inspired by the University of Sheffield who were able to raise NSS satisfaction with library services from 62% in 2008 to 91% in 2011. They have reported that one of the most significant contributing factors to this increase is the change in their loans system. In contrast York currently has a satisfaction level of 74% in the NSS for Library services. The system we have developed is based on that at the University of Sheffield.

We want to develop a system which is fair for all groups of library users and improves access to material to help you get the resources you want when you need them.

What are the key proposals?

Loan categories: you can borrow all ordinary books, except Key Texts, audio visual and reference books, for 4 weeks. If there is a queue of people waiting for the item, or if someone requests it at any point, the loan period will be shortened. All our communications will make it clear when the item is due back and if this changes.

Requests: you should request titles you need when they are on loan. Requests allow students to get access to the items they need as quickly as possible.

Unlimited renewals: you can renew a book as many times as you need, providing that no-one else requests it. At the end of each 4 week loan period you will be invited to confirm via your library account that you still have the book and it will be renewed.

Fines: you will only pay fines if you do not return a requested item on time. Fines will be £5 per item per day. Fines are high to act as a deterrent and to stop members of the Library community inconveniencing each other. Fine income will be used to support the acquisition of high demand material.

Vacation loans: 4 week loans will apply all year round and you will be able to confirm and renew books throughout the vacation if no-one else needs them. If the book is requested you will be expected to return it within 7 days and to post it back to us if you are away from York. This means no more waiting until the end of vacations to get hold of books which are on loan.

Start date: the changes to the loan periods will start on 3 September 2012. You will still be able to borrow books for the whole vacation this summer.

Free tea, coffee and cakes!

Free tea, coffee and cakes for those who register to take part in a short focus group looking at the Help and Enquiries service in the Library.

We are looking for a maximum of 16 volunteers to take part in discussions about user expectations and experiences of the help and service currently offered in the Library. 

The focus groups will take place in the Harry Fairhurst building on the following dates: 

  • Tuesday 22 May 15:00 - 16:00 in LFA/134 (max. of 8 people)  
  • Wednesday 23 May 16:30-17:30 LFA/204 (max. of 8 people)

Library 24/7 opening trial

From Monday 16 April until Monday 2 July 8am the Library will be running a pilot of 24/7 opening.

Whether you need space for exam study, research, or group work the Library will be open 24 hours a day, 7 days a week for a trial period from Monday 16 April until Monday 2 July, including bank holidays.

The University has agreed to fund this trial 24/7 service in response to student feedback. We hope that the trial will help to address the diversity of needs among the University community, such as students on placement and those with dependents or work commitments who may need to access library resources and facilities outside the standard working day.

After the trial period 24/7 opening all year round will begin from Monday 3 September 2012.

Research Study and Lounge to be made available to taught Postgraduates

From Monday 6 February 2012 the Research Study and Lounge on the top floor of the Harry Fairhurst Building will be available for use by Taught as well as Research Postgraduates. The Library is opening up this space to all Postgraduates in response to customer feedback and because of low occupancy levels.

Book drop box now available

The book drop box in the Ron Cooke Hub on Heslington East is now available

The Library are pleased to announce the availability of a book drop facility on Heslington East. The book drop is situated in the Ron Cooke Hub and is accessible 24/7. Items will be collected once a day, Monday to Friday, usually in the early afternoon. Customers should note that items will not be removed from library accounts until the items are received at the J.B. Morrell Library so the drop box should not be used to return items borrowed for 24 hrs or less, such as Key Texts, DVDs, 24 HR loans, overnight loans, study keys. Any items recorded as returned late will be charged fines.

This is a new service that has been introduced in response to customer feedback. We will be monitoring and reviewing use of the box over the coming months so please provide any comments or suggestions to Jackie Knowles, Customer Services Manager, jackie.knowles@york.ac.uk

In response to student feedback we're pleased to announce that from Monday 16 April until Monday 2 July 8am the Library will be running a pilot of 24/7 opening.

Whether you need space for independent study, research, or group work the Library will now be open 24 hours a day, 7 days a week for a trial period from Monday 16 April until Monday 2 July, including bank holidays.

The University has agreed to fund this trial 24/7 service in response to student feedback. We hope that the trial will help to address the diversity of needs among the University community, such as students on placement and those with dependents or work commitments who may need to access library resources and facilities outside the standard working day.

After the trial period, 24/7 opening all year round will begin from Monday 3 September 2012.

Book drop box in the Ron Cooke Hub on Heslington East

Library drop box on Heslington East

In response to customer feedback, the Library will provide a secure book drop box on Heslington East from early February. It will be located in the Ron Cooke Hub, available 24/7, with collections made once a day Monday to Friday in the first instance. Research Study and Lounge – new access arrangements

From Monday 16 January 2012 the Research Study and Lounge located on the top floor of the Harry Fairhurst Building will have new access controls tied to University cards and all previously issued key cards will no longer work.

Students who currently hold a key to the Research Lounge will need to visit the Help & Information desk in the JB Morrell Library to hand back their old card and have the appropriate access added to their University Card.

The Research Study and Lounge offers a mix of study space for use by research postgraduates. The area includes relaxed seating and more formal study desks complete with Wi-Fi and power points for charging laptops. Lockers are also available in this area.  To gain access the Research Lounge or to borrow a locker please enquire at the Help desk in the JB Morrell Library.

Individual Postgraduate Studies

Applications now being taken for spring term 2012

The nine individual postgraduate studies on the 1st floor of the JB Morrell Library will shortly be re-allocated to qualifying research postgraduates for the spring term. To apply for one of these rooms  please send your name, email address, department and year of study to jackie.knowles@york.ac.uk by Friday 20 January 2012. Successful applicants will be contacted with their room allocations during w/c 23 January and others will be kept on a waiting list. A £5 deposit will be payable on collection of the key. Please note that in order to ensure fairness in allocating these rooms those postgraduates who had use of an individual study for the autumn term will be excluded from the draw for spring term.

Staff University cards for library borrowing

On 5 December the Library will be switching over to using the new staff University cards for library borrowing.

Staff with library card and a new University card

From 5 December your old library card will no longer work and you should use your new University card to borrow books.

This change will happen automatically and your library record and current loans will not be affected. Please note that the new University cards also now link to York Print Plus accounts for photocopying and printing.

If you have not yet received your new staff card please visit the Information Centre on Market Square.

Staff not currently registered with the Library

Library membership is available to all staff and your new style staff University card is automatically registered as your library card.

Please do take the opportunity to come and visit us and look at the facilities and resources we have on offer. If you have not yet received your new style staff card please visit the Information Centre on Market Square.

Associate Staff

Associate staff will not automatically be issued with a new style University card. Old style library cards will continue to work for all associate staff and there is no automatic update taking place.

If you are an associate member of staff and have a new style University card please come to the Library Help desk and we will activate it.

Due to the complexity of associate registrations we are advising that individuals should visit the Help desk in the Library for personalised information about what to do. The Library Help desk is open 9am-9.45pm Monday to Friday and 10am-6pm on Saturday and Sunday.

Reading lists for Spring Term 2012

If you are teaching a module in the Spring Term, the University Library needs your help to ensure that appropriate resources are in place.

The Library would therefore like a copy of your reading list by Friday 18th November 2011 to ensure that items are available for the start of term. Sufficient notice is needed to order and process items not currently in stock and to move items into the Key Texts collection.

If you are using the resource list software (EARL) in Yorkshare, you do not need to send your list but please ensure it is up to date by this deadline. The Library will automatically be notified of items on EARL lists which are not in stock and will order them, creating links in the lists when the item is available. You may use the ‘Notes to Library’ option if you need to tell us about anything additional. Please contact Sue Elphinstone with any queries relating to EARL.

All non-EARL lists should be accompanied by a completed resource list form. The completed form and list should be emailed together to the Library Orders Team

Please note that the Library has now introduced a 24 hour loan period. This can be applied to heavily used / recommended texts. You may want to consider using this new loan period as an alternative to Key Texts (4 hour loan). Due to space considerations the number of copies of a title in Key Texts is capped at two.

Departments can also take advantage of our Electronic Texts Service, which can provide digitised chapters and improve reading list accessibility for your students. York Minster Library - December closures

On 9 December the Reading Room at York Minster Library will be closed, but the rest of the Library will remain open.

On Friday 23 December, York Minster Library will close at 12pm, due to staff shortages.

Postgraduate Study Provision in the University Library

As part of the Library refurbishment significant investment has been made in improving study space provision for research postgraduates. Specifically we offer:

Research Study and Lounge
Located on the top floor of the Harry Fairhurst Building the Research Study and Lounge offers a mix of study space exclusively for use by research postgraduates. The area includes relaxed seating and more formal study desks complete with Wi-Fi and power points for charging laptops. Lockers are also available in this area for daily use. To register for a key to access the Research Lounge or to borrow a daily use locker please enquire at Help & Information in the JB Morrell Library.

Individual Postgraduate Studies
From October 2011 the Library is making available nine individual studies on the 1st floor of the JB Morrell Library. These will be let for approx a term at a time,   to qualifying research postgraduates. Minster Library closed 5 October

Changes to YorSearch

Changes to the YorSearch Library Catalogue have now been made.

This new version of YorSearch includes the search options:

  • Books and more - a search for books, journals, DVDs etc. on the Library Catalogue
  • Articles and more - a search for journal articles on a topic. This search option is under development and we will continue to test it throughout the academic year.

Loyal users of the existing Classic Catalogue need not worry, as this will continue to be available alongside YorSearch.

We welcome your feedback on this new version of YorSearch. Please email us with your comments.

The Library opens again on Sundays

Starting 4 September, the JB Morrell and Raymond Burton libraries, and the Harry Fairhurst building are once again open on Sundays. Sunday vacation opening hours are 10am-6pm, and are self-service only.

Library survey 2011 feedback

Thank you to those who completed the Library survey this year, your feedback and comments form an important part of developing Library services.

We received a record number of responses this year, the results of which are being analysed and formulated into an action plan. This will be made available via the Library web pages.

Catriona Sherman, pictured here with the Director of Information, Stephen Town, was the happy winner of this year’s prize draw and was presented with a Sony eBook Reader. Further prizes, of USB sticks and Library mugs, were also awarded.


King's Manor Library

Work will start on Wed 10 August to replace some shelving and reader tables/chairs in the King’s Manor Library.

Because of the restricted space at KML and to minimise disruption to users, the plan is to complete the work in stages, working on Wed-Fri each week until 2 Sept. The Library will remain open and operational throughout, but if you have any queries, please contact King’s Manor Library staff or Jackie Knowles or Paula Mountain Agar in the J.B. Morrell Library.

Alterations to Library & Archives and IT Services: 29th July

As part of planning developments for enhancing the student experience, the Information Directorate will be holding a staff meeting and training day which most of our staff will be attending on Friday 29th July.

The Library will be open normal vacation hours 09:00 - 18:00 with a skeleton staff.

ITSO will be closed, but the out of hours phone service 01904 323838 will be available during this period. An escalation procedure will be in place to deal with serious issues should they arise.

IT Services - all services will be running as normal. Staff will be available to return to site should any issues arise.

We wish to ensure that this does not adversely effect specific academic requirements. I would be grateful if you could pass this message on to other colleagues and students in your department.

Closure of the link between the JBM Library and Harry Fairhurst

During the refurbishment of the south side of the ground floor of the JB Morrell Library (18 July-November 2011), the link connecting the Library to the Harry Fairhurst Building will be closed.

Both buildings will operate independently of each other. The temporary Fairhurst entrance will be situated at the South West side of the Harry Fairhurst Building (by the external lift and staircase). The entrance to the Library maintains its current position.

YorSearch Upgrade: August 2011

A new, improved, YorSearch will be launched in early August.

The Library Catalogue, YorSearch, is being upgraded in early August. The main feature of the upgrade will be the integration of MetaLib, allowing you to start your search for books and journal articles from the same place.

Loyal users of the existing Classic Catalogue need not worry, as this will continue to be available alongside YorSearch throughout the next academic year.

EARL lists & VLE rollover

Calling all Course Instructors and Departmental Administrators - on Monday 20 June 2011 rollover happened and you can now access your 2011/12 course. We have instructions on copying EARL lists after rollover.

Rollover is the annual process of creating a new VLE course. EARL resource lists do not automatically rollover, but must be copied.  If you had EARL resource lists attached to a 2010/11 course you may want to copy the lists to ensure they are still available in 2011/12 – this is a very quick process.

Click on the button which links to the EARL resource list (this button is usually on the left of the screen). You will see the following:

EARL lists & VLE rollover

No EARL lists will be associated with the course at this point but you will see options to create a new list, make a copy of a single list, or make copies of all lists within a course. You must choose one of these options.

If you chose either of the copy options you will need to select the relevant resource list title or course name from the drop-down. Once the copy is made you will need to re-name the list (e.g. remove ‘Copy of’ in the title) and change the start/end dates.

Resources within the list can be added, edited or deleted as appropriate. For further information on editing lists please refer to the document or video ‘Creating a resource list (EARL)’ which is available under the Library tab in Yorkshare.

Footpath Closure

Remedial works to take place on the Harry Fairhurst building West Elevation - path will temporarily close 6 June-17 June 2011 inclusive.

The footpath around the West Elevation of the Harry Fairhurst building is to be closed from Monday 6 June until Friday 17 June 2011 (inclusive) and is scheduled to re-open on Saturday 18 June 2011. The footpath is required to be closed in order to safely undertake remedial works to the footpath and improve disabled access.

Users are reminded that alternative pedestrian routes via Alcuin College are available to provide access between the North Campus Car Park and Central Campus Areas and disabled car parking spaces are available in Central Car Park.
