Video Conferencing in Market Square Boardroom
The video conferencing facilities are in the Information Centre Boardroom. It is a specialised facility suitable for meetings and seminars. The layout of the room is boardroom style and provides seating for a maximum of 14 people.
The video conferencing equipment comprises a Tandberg 990 MXP video conferencing unit and a 50 inch NEC plasma monitor. A supported campus PC is available for showing and viewing presentations and iIt is possible to connect a laptop computer to the system too.
Please Note. Our videoconferencing systems are NOT compatible with Adobe Breeze, Yahoo Messenger, Netmeeting, Skype and other software solutions
The facility provides a full screen display and a window which can be switched to near or far end viewing by use of the remote control. Cameras at both ends can be zoomed, panned or tilted as required (dependant on compatibility). The near end camera can be set to move to the speaker in the room, and pre-set camera positions can also be saved prior to the conference.
The equipment is extremely easy to use. A short 15 minute introduction to the equipment by Audio Visual is all that is required to be able to use the facilities of the equipment.

The video-conferencing facility can use either ISDN channels providing from 128Kbs (ISDN 2) to 384Kbs (ISDN 6) bandwidth, or a network connection to provide IP connectivity up to 2Mbps. The unit is compliant with ITU-T H.320, H.323 and T.120 standards.

Note that ISDN calls made from this unit are charged at BT business rates, and that there is a trade off between the number of channels used (and therefore the cost), and the quality of the picture.
We would normally use all 6 channels for the highest call quality, but where cost is an issue we can use less.
ISDN calls within the UK are charged per channel at the normal Local/National rates.
International calls are charged at special ISDN rates
There is no call charge for IP (internet) calls.
The equipment is normally left on so that users can test that equipment at either end is compatible prior to conferences.
Multi-site conferences
If your conference will have more than 2 sites participating, then the services of an MCU will need to be booked. For academic business, JVCS operate a service which is available for our use, this will need to be booked by one of the participants. Please inform us when you are booking if this is the case. We can book the MCU for you, for which we will need details of the other venues, or you can book it yourself, you will need to specify the venue name - info-centre@york.ac.uk . For external clients, BT Conferencing can provide a similar service.
Presentations
If your conference involves a powerpoint presentation, we recommend that you display this on a separate screen so that you can see the presentation and the presenter at the same time.
This results in the best quality for the presentation. A second plasma screen and supported campus PC are available in the room but should be booked at the same time as the conference to confirm their availabilty. You will need to ask the presenter to indicate when they are changing slides.
Alternative solutions involve switching between the powerpoint and presenter at the presenting end, or, if the remote equipment is DuoVideo capable (most modern Tandberg systems are), then both the presentation and the image of the presenter can be transmitted down the link.

There is now no charge for booking this room. It should now be booked through Planon rather than the Information Centre.
ISDN calls will be charged to you after the event.
A technician will meet you at the Information Centre
front desk 15 minutes before the start time of your conference, please ensure you return furniture
to how you found it and switch off the system when you have finished.
If you have any problems with the equipment or need assistance please
contact the Audio Visual Centre (dial 3035/3036) who will arrange for someone to
assist you.
Please note that only University Departments can
use the facilities after 5.15pm. If you require to use the equipment after 7pm
please discuss locking up procedures with Campus Services, it may be necessary
to arrange for Security to lock and alarm the building.

During the Videoconference
Self view
When you first make the connection with a remote system, you will see the image of the view they are seeing in a window on the main screen. You can move this around the screen by pressing the "Selfview" and "Layout" buttons on the remote.
Microphone
The microphone is set to be muted at the start of a dial in conference. Press the yellow "mic off" button on the remote to switch the microphone on. This can be toggled on/off at any time during the conference to allow private conversations.
