Will my laptop connect to your projector?
Our Data projectors are supplied with the leads required to connect to a standard VGA (15 pin D) connector on a laptop.
If your laptop has a different connector, particularly MACs then you will need to use an adapter or port replicator. Please note, we are unable to supply these adapters.
Do your projectors work with Macs?
Our projectors are compatible with Apple Mac computers.
You will however need to bring your monitor adapter dongle. Please note, we are unable to supply these adapters.
Computers
What operating system and software are installed on the PCs in teaching rooms?
Our PCs are all standard IT Services classroom machines and run Windows 7 and Microsoft Office 2010.
They have all of the software available to use that would normally be available on your office computer.
A full list is available from the IT Services website.
You can also access your M: and H: drives (My Documents) and the Internet.
A University log-on is required to use teaching room computers. Departmental log-ins (e.g. Biology, Health Sciences etc.) will not work on these computers.
I can't login. What should I do?
To log in to centrally bookable teaching room computers, use your IT Services username (e.g. ozw1 or ozw500) and password, not your departmental one (Biology / Health Sciences).
If you have problems logging in, or if you get an error message that servers are unavailable then please try rebooting the computer. If this doesn't work then please contact IT Services on 3838.
I'm an external speaker and don't have a username to log in with - can AV log me in?
We are unable to log visitors into the PCs other than for conferences booked through York Conference Park.
Visiting speakers should ask the department that invited them to arrange for a temporary username and password for them.
Laptops
What operating system and software are installed on the laptops and what media can I bring my presentation on?
Our laptops run Windows 7 and Microsoft Office 2010. They can take presentations provided on CD-ROM, DVD and USB Memory Stick.
There is a mouse provided.
Can I access the internet on the laptop?
Internet (web) access from our laptops is possible upon request.
It is not possible to access your personal filestore, or any other applications (Agresso, SITS, Kinetics, Planon, Matlab, Maple, PureData etc).
How do I make my laptop talk to the projector / Plasma Screen (Windows)?
If in any doubt, then we recommend that you switch the projector on, switch it to the right input, connect the VGA lead to your laptop and then switch the laptop on. This is the most reliable method to make sure the laptop detects the external display. Once the laptop and projector are on and the laptop is showing either the Windows logon screen or your desktop, check which displays are showing - either laptop screen, external screen or both. To change between screens, and more importantly both screens, there is a magic key combination. This key combination varies between makes and models of laptops, however, below are the most common ones.
- Most Windows laptops - Hold down the Windows key and press P.
- Most Apple Macs - Go into the Display menu and select Detect Displays.
- Most laptops - hold down the Function key (marked Fn in the bottom left corner of the keyboard) and tap F5, wait for the displays to settle down and repeat as necessary.
- Newer Toshiba's - hold down the Function key and press F5, keep the Function key held down and a display will come up, tap F5 until the correct setting is highlighted then release the Function key.
- Dell Laptops - follow the instructions for most laptops but use Function key and F8
If this doesn't work, check you are using the right F key - it will be marked in grey or blue with either "CRT/LCD" or an outline picture of a PC and a separate screen
How do I make my laptop talk to the projector / Plasma Screen (MAC)?
From the settings menu, select Displays, then Detect Displays. You may also need to select Mirror Displays or change the arrangement and drag the two screens on top of each other.
Some of my pictures and movies don't work when transferred from MAC to PC.
This often appears as a message in place of the image saying that Quicktime is required. Often this is not the case and the original image will need to be re-inserted. There are two ways to avoid this problem in the first place:-
Use PowerPoint 2008 with the latest service packs. This version of the software inserts the files correctly
For earlier versions of PowerPoint, use the 'insert' options in the menus - do not drag and drop images.
Presentations
Can I email you my presentation in advance so that it is on the laptop ready at the start of my class?
As we have multiple laptops in use, we are unable to receive presentations in advance.
If you are in a room with an installed computer then your personal filestore (M:, H: drives and My Documents) is available.
If a technical briefing is booked we will assist with loading presentations onto the computer at the start of the session.
How do I make sure my media clips work?
When you bring your PowerPoint file, make sure that any video clips or sound files are saved in the same folder on the disk.
Please note: If your media clips include sound then you will need to inform this in advance if you are using loan equipment, otherwise only the laptop speakers will be available.
Can you copy my VHS video clip into PowerPoint?
We currently do not provide a video editing service or VHS to DVD copying.
If you require this then please contact us as we may be able to help or at least point you in the right direction of someone who can help.
Videos and DVDs
There's a Video / DVD combi in the room I'm teaching in but no remote control
Most centrally bookable teaching rooms have a control panel on the top of the teaching console which will operate the Video / DVD player.
In a small selection of rooms (V/C block, W/035e and f) remote controls are available from the local porter or reception desk. Please return there after use.
Will my video work in your player?
All of our video players will play standard play and long play VHS tapes in PAL (UK) and NTSC (American) format.
For other recording formats e.g. Secam, Mesecam and some European formats we can provide a World Standard player upon request.
We can not support other tape formats e.g. Hi8, Betamax, Betacam etc.
Will my DVD work?
All of our DVD players will play region free (0) disks and region 2 (UK) disks. Many will also play disks from other regions, but we recommend you inform us when booking equipment.
Our Blu-Ray players will play reqion free and region B disks. Many will also play region 1 and 3 disks but we recommend that you check before relying on other region disks.
Can you copy my VHS tapes onto DVD?
We don't currently provide a copying service from VHS to DVD.
We may however be able to copy single cassettes to DVD depending on other commitments. This would be a basic copy with no editing or track marking.
Please contact us for further information or for recommended suppliers who may be able to help further.
Overhead Projectors
The OHP isn't working. What should I do?
This is most likely due to a bulb having blown. On the front of the OHP is an orange sliding switch. Pull this across to switch to the other bulb. Some OHPs may have a black knob to turn on the front instead. After your lecture, please inform AV or the local porter.
If you can hear the fan but there is no light showing on either lamp then it may be that both bulbs have blown and no-one has informed us. Contact the duty technician on extension 3036 and we will be able to fix the problem in a few minutes.
If you can't hear the fan then please check that the OHP is plugged in and turned on at the mains socket.
Please do not move another OHP from a nearby classroom.
The OHP is working but I can't get an image on screen.
This is most likely due to the position of the folding arm. The arm should be at 60 degrees to the OHP.
If it is at 90 degrees, lift the orange catch and lower the arm gently, release the catch and raise slowly until the catch locks at 60 degrees.
Also check that the mirror is open.
Carousel Projectors
I can't get the carousel off the projector
With the Ektapro projectors, the carousel needs to be at 0 to remove the carousel.
Either press and hold the next slide button until it reaches 0, type in 00* into the remote control, or switch the projector off and back on. It will then rotate back to the home position.
The green light will show when the carousel is at 0.
Equipment Bookings
How do I book equipment?
We can only accept online bookings. We cannot accept bookings over the phone.
If you wish to discuss what you may require then please contact us in advance.
I can't see my room / the equipment I want on the booking form
If your room is not on the list the please select 'other' from the drop down list and put the details in the 'Location Details' box.
If your required equipment is not listed then select 'Other AV Equipment' and fill in the details in the 'Other AV Requirements' box.
I booked equipment and it hasn't arrived.
When you book equipment you will receive email confirmation. Please check that this is correct and let us know if there are any errors.
If the equipment is not there when you arrive, please check the time you booked the equipment. We normally deliver just before the time requested to give us time to set the equipment up.
When we arrive we will wait with the equipment for ten minutes. If you do not arrive in that time we will remove it for security reasons. Please contact the duty technician on extension 3036 and we will try to arrange re-delivery.
Drywipe and Chalk Boards
I can't wipe the writing off the whiteboard
Always use Drywipe marker pens marked Edding 250. Don't use Permanent markers or watercolour pens.
If it is a permanent pen (the writing will be exactly where they left it) it can be removed by scribbling over it with an Edding 250 pen, and then wiping off with a dry cloth.
If it's watercolour marker, (the writing will be a smeary mess) we have some cleaning solution which can be used to remove it.
Nimlok Boards
Do Audio Visual provide Display Boards?
Nimlok boards are provided by Mail Room but can be booked through the AV webpages.
All enquiries should be referred to Mail Room (x2049, admn203@york.ac.uk).
How big are the Nimlok display boards?
The boards are 2.1m (7') high and 1.2m (4') wide.
