A lifestyle change is a change in your personal circumstances that allows you to alter your choice of Rewards Extra salary exchange and voluntary benefits outside of the usual enrolment period.
Providing salary exchange benefits through the Rewards Extra scheme reduces the amout of NI and/or tax you pay. As a result, Her Majesty’s Revenue and Customs (HMRC) impose rules upon the scheme. One rule is that you must sign up to a salary exchange scheme for a minimum of twelve months. You can only alter this agreement if you experience one of a number of recognised lifestyle changes. Lifestyle changes must be declared and authorised using the lifestyle change form [pdf].
These requirements have been built into the scheme rules [pdf]. We recognise that these rules can limit your flexibility in changing, taking up or opting out of some benefits, or that it can take a while to receive a benefit. However, they are necessary to make the administration of your benefits compliant with HMRC’s requirements, as well as cost-effective and compatible with the monthly timetable for paying salaries.
Lifestyle change requests can only be processed for a limited period in any month. Depending on when you submit your request, it could take between one and two months for you to receive the selected benefit or make a change to your existing benefits.
The best time to submit your form is towards the end of the month so that it can be included in the next benefit selection period.
Informing us of a lifestyle change is very straightforward. Complete and sign a lifestyle change form [pdf] and send it to HR Services, Heslington Hall.
Once you have submitted your lifestyle change form, HR Services will email you to indicate whether the change has been accepted. If accepted, the next step is for you to log on to the benefit selection website and select your benefits or change the value or level of your existing benefits. The email will indicate the period when you can access the website to do this.
