What is the web address for accessing the system?

The web address for accessing your property is www.york.ac.uk/univ/mis/cfm/landlord/

How do I re-register?

This depends whether your current registration has expired or not. We send you an email shortly before your current registration expires, inviting you to re-register for a further year. On that email, is the date of expiry. To re-register you need to know your username, surname/company name, your landlords’ reference number and password.

If your registration is current, (check from the above email), click on the http://www.york.ac.uk/univ/mis/cfm/llordreg/renew/ link and then follow the on-screen instructions.

If your registration has expired, you need to click on http://www.york.ac.uk/univ/mis/cfm/llordreg/  and follow the instructions.

I’ve forgotten my username and/or password. What do I do?

Your username is the full email address that you used when you registered. For example: your.name@mymail.co.uk

To reset your password go to this web page and choose the reset your password option. You will need the security code that we sent you when you first signed up as a user.  If you do not have this, you need to telephone 01904 322165 and we can reset it for you. A new password will then be sent to your registered email address.

How do I enter details for a new property?

Log into the system and select Add a new property from the menu on the left hand side of the screen. 

You will then need to work through the menu buttons on the left of the screen, entering the full details of the property.  You will also need to send copies of all relevant safety certificates to the Accommodation Services Office in order to complete the process.

How do I stop advertising or delete one of my properties?

 If you have successfully rented the property and no longer wish to advertise it this year, you should go into the system, select Advert Setup and 'stop' the current advert.  This means that you will be able to advertise it again next time, with the minimum of effort. 

You should only delete a property when you know the property will no longer be rented out by yourself, (or another landlord). If you delete the property, you will need to type in the whole details again the next time you wish to advertise it. To delete a property, select the Property Address page and press the Delete this Property button.

I need to advertise just one or two rooms in my property

If one or more tenants has left (from your current letting) and you need to re-advertise those rooms - Go into 'Advert Setup' and create a new advert.  Just change the drop down box on the right hand side to show the number of rooms you are advertising.

How many photos can I upload?

There is no limit to the number of photos that you can upload. Just use the Upload Photos option (4 photos per time), as many times as you like.

Be aware that too many photos could have an overpowering effect on your advert. Each photo must be no more than 50KB and in .jpeg format.

My photo is larger than 50kb - How do I resize my photo?

It can be resized using standard software for example, Photoshop, or the ‘stretch/skew’ function in Paint.

I've entered all my information, but the system has not saved it?

Did you remember to click update/save changes after each page was completed?

If you have Javascript enabled, it will warn you if you try and move away from a page without saving. If you think it may be disabled, see How to enable scripting in your browser.

I’ve completed all pages, but it says certificates are not valid?

Have you sent the certificates into Accommodation Services for approval?  If you have, please allow 3-5 working days for the details to be checked and put into the system. This process may take longer in January.

How will I know that a safety certificate has expired?

You can check this on the Safety Certificate Details page at any time.  If you are an online user, we also send out email reminders when a certificate is about to expire.

How do I change my postal address, email address or contact details?

Select the Your Details menu option and amend your details. Remember to save the changes.

How do I stop a phone number or email address from being published?

Select the Your Details menu option and click on the radio button to the right of the relevant telephone number or email address. Remember to save the changes.

I’ve made changes to my advert but the changes do not show when I view the advert

Accommodation Services need to check changes to ‘free text’ boxes and approve photographs before the changes are made to the live advert. This may take 3-5 working days.

My property can be let as a 4 or a 5 bedroom house. How can I say this on the advert?

The system does not let you advertise a property as a 4/5 bedroom house. You should add a comment to the Further information text box on the Facilities page which explains your circumstances.
